RITES(Mumbai) chooses Vicisoft to digitize its documents

RITES, a Government of India Enterprise, provides comprehensive engineering, consultancy and project management services in the transport infrastructure sector under single roof. Since its inception in 1974, company has made steady progress and diversified into new areas of business such as, export/leasing, maintenance and rehabilitation of railway rolling stock, operation and maintenance of railway systems under concession agreements and BOT, BOOT and PPP projects.

RITES (Mumbai) has to store inspection certificates for each assignment and each inspection certificate has 25-50 pages approximately. Vicisoft was chosen to

• Digitize more than 5 lakh pages of backlog

• To implement software to capture these documents and enable retrieval based on parameters like inspection certificate no., PO number etc...

Vicisoft implemented ViciDocs Enterprise to enable the capture, storage and retrieval of documents. Vicisoft also set up a robust process for scanning the documents to clear the backlog in fairly short time. The main activities within the scanning process included:

• Destapling the inspection certificates

• Segregation of single sided and double sided pages

• Scanning using a Kodak i260 scanner. This scanner supports A3 sized pages which constituted 1-2% of the pages

• Indexing the inspection certificate with 6 fields

• Refiling the inspection certificates

• Quality control of the scanned images and indexed data.

The Capture Client module of ViciDocs Enterprise was used to store the documents and index them. The browser interface of ViciDocs is used by RITES personnel to search and retrieve the documents.
